This Privacy Policy describes how Dickson 5 LLC, doing business as WrestlerFinder (“we,” “us,” or “our”), collects, uses, and shares personal information when you use WrestlerFinder.com (the “Site”). By using the Site, you agree to the practices described in this policy.

Information We Collect

Information You Provide

Account Registration. When you create an account, we collect your name, email address, and password. Coach accounts also require your institutional affiliation, title, and division.

Athlete Profiles. Athletes (or parents acting on their behalf) may provide: name, date of birth, graduation year, high school, physical attributes (height, weight), athletic statistics (win-loss records, state placements, weight classes), academic information (GPA, test scores, class rank, honors and AP coursework), college preferences, photos, videos, endorsements, contact information (phone number, email, home address, parent/guardian contacts), and social media links.

Payment Information. When you subscribe to a paid plan, payment is processed by Stripe. We do not store your full credit card number, expiration date, or CVC on our servers. Stripe handles payment data in accordance with PCI-DSS standards. We store your Stripe customer ID and subscription status to manage your account.

Subscription Consent. When you start a paid membership, we record the automatic renewal terms you agreed to, when you agreed, and the IP address you agreed from. We keep this as a record of your consent.

Communications. If you contact us via email, we retain the content of your messages, your email address, and our responses.

Information Collected Automatically

Usage Data. We automatically collect information about how you use the Site, including pages viewed, search queries performed, profiles viewed, time spent on pages, and referring URLs.

Cookies and Tracking. We use cookies and similar technologies to maintain your session, remember your preferences (such as dark/light mode), and analyze Site usage. Our email platform (Bento) may place tracking pixels in emails to measure open rates and click-through rates. Our analytics tracking identifies which pages you visit to help us improve the Site and personalize your experience.

Device and Browser Information. We collect your IP address, browser type, operating system, and device information through standard server logs.

Information From Third Parties

We may receive information about college programs from public data sources, including the U.S. Department of Education’s College Scorecard. This data includes institutional statistics (enrollment, tuition, graduation rates) and is used to populate college program pages.

How We Use Your Information

We use the information we collect to:

• Operate and maintain the Site and your account.
• Display athlete profiles to college coaches for recruiting purposes.
• Process subscriptions and payments.
• Send transactional emails (account confirmations, password resets, subscription confirmations, cancellation notices).
• Send marketing and notification emails (coach activity alerts, profile updates, recruiting tips). You may opt out of marketing emails at any time.
• Calculate and display your Recruiting Visibility Score, which determines your placement in search results.
• Track and display anonymized platform statistics (such as “312 coaches searched this week”).
• Notify athletes when a coach views their profile or saves them to a recruiting board.
• Feature athletes and their profile content in WrestlerFinder marketing materials, including social media posts, email campaigns, and advertisements, subject to the license granted in our Terms of Service.
• Improve the Site, analyze usage patterns, and develop new features.
• Detect and prevent fraud, abuse, and unauthorized access.
• Comply with legal obligations.

How We Share Your Information

Public Profile Information

Athlete profiles are designed to be publicly accessible to facilitate the recruiting process. The following information is visible to anyone, including search engines: name, profile photo, high school, state, graduation year, weight class, gender, career win-loss record, season records and placement badges, GPA (number and scale only), and awards.

Additional profile details (full academic records, physical attributes, endorsements) are visible only to verified college coaches.

Contact information, videos, full photo galleries, and college preferences are visible only to verified coaches viewing Pro-tier athlete profiles.

Service Providers

We share information with third-party service providers that help us operate the Site:

• Stripe processes payments and stores payment method details.
• Amazon Web Services (AWS) stores uploaded photos, videos, and other media on S3/CloudFront infrastructure located in the United States.
• Bento manages our email communications and subscriber data, and sends our subscription confirmation and cancellation emails.
• SendLayer delivers system emails such as password resets and account notices.
• Cloudflare provides DNS for our domain and redirects www.wrestlerfinder.com to our main site.
• Google Analytics 4 measures visits, pages viewed, and signups. Google Tag Manager loads our analytics and advertising tools on the Site. Google also provides map services where used.
• Meta (Facebook) receives behavioral data through our advertising pixel for ad targeting and conversion tracking. We do not send date of birth or athlete names, and the pixel does not run on athlete profile pages or on athlete dashboard, account, or profile editor pages.
• Microsoft Clarity records how visitors interact with the Site (clicks, scrolling, page views) so we can improve it. Text you type into forms is masked and not recorded.

These providers access your data only to perform services on our behalf and are contractually obligated to protect your information.

Legal Requirements

We may disclose your information if required by law, subpoena, court order, or government request, or if we believe in good faith that disclosure is necessary to protect our rights, your safety, or the safety of others.

Business Transfers

If Dickson 5 LLC is acquired, merged, or sells substantially all of its assets, your information may be transferred as part of that transaction. We will notify you of any such change via email or a prominent notice on the Site.

We do not sell your personal information to third parties. We do not sell your personal information for money, and we do not share it with data brokers. We use advertising tools, such as the Meta pixel, that may count as “sharing” under some state privacy laws. You can opt out on our Do Not Sell or Share page.

Data Retention

We retain your personal information for as long as your account is active or as needed to provide you services. If you delete your account, we remove your profile from public display right away and delete your personal data within 30 days, except where we are required to retain it for legal, tax, or compliance purposes. We keep basic billing records, a record that the account was deleted, and your email address on our unsubscribe list so we don’t email you again.

Uploaded media (photos and videos) stored on AWS will be deleted from our cloud storage within 30 days of account deletion.

Anonymized and aggregated data (such as search statistics and platform-wide metrics) may be retained indefinitely as it cannot be used to identify you.

Children’s Privacy

WrestlerFinder is designed to serve high school athletes, many of whom are under 18 years of age. We take the privacy of minors seriously.

Users aged 13 to 17 may create accounts and profiles with the consent of a parent or guardian. By allowing a minor to use the Site, the parent or guardian agrees to these terms on the minor’s behalf and assumes responsibility for the minor’s use of the Site.

Users under 13. WrestlerFinder is not intended for children under 13, and we do not knowingly collect personal information from them. We ask for date of birth at sign-up and do not create accounts for anyone under 13. If we learn that we have collected personal information from a child under 13, we delete it. If you are a parent or guardian and believe your child under 13 has provided us with personal information, contact us at hello@wrestlerfinder.com and we will remove it.

If you’re under 18: removing what you posted. If you’re under 18 and have a WrestlerFinder account, you can remove what you’ve posted here. You can delete most of it yourself. Delete your posts from the community feed, and delete gallery photos and videos in your profile editor. Your profile photo and cover image can be swapped out anytime in the profile editor.

If there’s something you can’t remove on your own, like an automatic tournament result card on your profile, email hello@wrestlerfinder.com from the address on your account and tell us what you want taken down. We’ll remove it.

A few things to know. Removing something takes it off WrestlerFinder, but we can’t pull back copies other people already saved or shared somewhere else. We may keep some information when the law requires it. And this covers what you posted, not what someone else posted about you. If that’s the issue, email us anyway and we’ll take a look.

Parental Rights. Parents and guardians may:

• Review the personal information we have collected from their child by contacting us.
• Request that we correct or delete their child’s personal information.
• Request that we stop collecting personal information from their child.
• Manage or cancel their child’s subscription.
• Request that their child’s content not be used in WrestlerFinder marketing materials by contacting hello@wrestlerfinder.com.

What Coaches See. Parents should understand that athlete profiles are designed to be visible to college coaches for recruiting purposes. The tiered visibility system controls what information coaches can access based on the athlete’s subscription level. Full contact information (phone, email, home address, parent contact details) is only visible to verified coaches when the athlete has a Pro subscription.

Your Rights and Choices

Access and Correction. You may access and update your profile information at any time through the profile editor on the Site.

Account Deletion. You can delete your account yourself. Log in, go to Account, and scroll to Privacy at the bottom of the page. Click “Delete my account.” Your profile is hidden right away. If you have a paid membership, it stops renewing. You keep Pro access through the period you already paid for, and you won’t be charged again. After 30 days, your account is permanently deleted, and we unsubscribe you from our emails.

Founding Members, email us at hello@wrestlerfinder.com from the address on your account and we’ll handle it for you. Parents can ask us to delete their child’s account the same way.

Cancelling a Paid Membership. You can cancel anytime online under Account > Plan & Billing. Your Pro access continues through the period you already paid for, and you won’t be charged again.

Email Opt-Out. You may unsubscribe from marketing emails at any time by clicking the unsubscribe link in any email we send. Transactional emails (password resets, payment confirmations, cancellation notices) will continue as long as your account is active.

Marketing Content Opt-Out. You may request that your profile content not be used in WrestlerFinder marketing materials by contacting us at hello@wrestlerfinder.com. This does not affect your profile’s visibility to coaches on the Site.

Cookies. Most web browsers allow you to control cookies through their settings. Disabling cookies may affect the functionality of the Site, including your ability to stay logged in.

Do Not Track. Some browsers send a Do Not Track signal. There’s no agreed standard for what it means, so we don’t respond to it.

Global Privacy Control. We honor Global Privacy Control. If your browser sends a GPC signal, we don’t load the Meta (Facebook) pixel for you, and we don’t send your signup or purchase activity to Meta. We still use Google Analytics to measure how the Site is used.

State-Specific Rights. If you are a resident of California, Colorado, Virginia, Connecticut, or another state with consumer privacy laws, you may have additional rights regarding your personal data, including the right to know what data we collect, the right to delete your data, and the right to opt out of certain data sharing. To exercise these rights, contact us at hello@wrestlerfinder.com. California residents may also submit a Do Not Sell or Share request via our dedicated opt-out page.

Security

We take reasonable measures to protect your information, including:

• Encrypted connections (SSL/TLS) for all data transmitted to and from the Site.
• Passwords stored using WordPress’s salted hashing mechanism, never in plain text.
• Payment data handled entirely by Stripe (PCI-DSS compliant) and never stored on our servers.
• API credentials and sensitive keys stored in server configuration files, never in code repositories.
• Access controls limiting which user roles can view specific profile information.

No method of electronic transmission or storage is 100% secure. While we strive to protect your information, we cannot guarantee absolute security.

Email Communications

We use Bento as our email platform. Bento also sends our subscription confirmation and cancellation emails. SendLayer delivers system emails such as password resets. When you register or subscribe, your email address and associated subscriber data (name, plan, state, graduation year) are synced to Bento for the purpose of sending you relevant communications.

Types of emails we send:

• Welcome and onboarding emails after registration.
• Coach activity notifications (when a coach views your profile or saves you to a recruiting board).
• Subscription confirmations, cancellation notices, and payment receipts.
• Profile and recruiting tips.
• Platform updates and announcements.

We are committed to keeping your email address confidential. We do not sell, rent, or lease our email lists to third parties.

CAN-SPAM Compliance. All emails clearly identify the sender and include instructions for how to unsubscribe. We honor all unsubscribe requests promptly.

External Links

The Site may contain links to third-party websites, including college and university websites, recruiting resources, and external services. We are not responsible for the content, privacy practices, or terms of use of any third-party websites. You access these sites at your own risk.

Changes to This Policy

We may update this Privacy Policy periodically. Any changes will be posted on this page with an updated effective date. For material changes, we will make reasonable efforts to notify registered users via email. Your continued use of the Site after changes are posted constitutes your acceptance of the revised policy.
